0:00Overview

Your software only produces PDF invoices, but your customer asks for an XRechnung? In this video, we convert a sample invoice step by step: upload, review the data, validate, and download.

0:15Upload the PDF

On invoice-converter.com, open the PDF to XRechnung converter and upload your PDF. Testing works without an account, up to 6 pages in total. One click starts the conversion.

0:29Review recognized data

The converter reads the invoice data from the PDF: invoice number, date, seller, buyer, line items and totals. Check every recognized field and correct it if needed. What an XRechnung still needs is marked in red.

0:45Complete required fields

In our example, the electronic addresses of the seller and the buyer are missing. For the seller, we enter an e-mail address. The buyer is a German public authority: we choose the scheme for its Leitweg identifier and enter the number the authority gave us. Then we add the buyer’s country and enter the same number as the buyer reference.

1:08KoSIT validation

A click on “Validate and continue” checks the invoice with the KoSIT validator, against the European standard and the German XRechnung rules. Errors block the download; every finding names the rule and the affected field. Our invoice passes the technical validation.

1:26Summary and download

In the last step, you see the summary and download the XRechnung as an XML file. Testing works without an account, up to 6 pages in total; the download needs an account plus a credit or a subscription. You then submit the file the way your public-sector customer specifies, for example through an invoice portal.

1:46Validation limits

A passed validation checks the structure and the business rules, not whether the service, quantity and price are correct. So check the data before you download. You’ll find the conversion guide in the description.
